Inter Cultural Education Limited (‘ICE’, ‘we’, ‘us’) respects your privacy. This statement explains our practices regarding the collection, use, and protection of personal data in accordance with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong.
1. Purpose of Collection
We collect personal data to provide our services. This includes:
- Participants & Members: Information provided during newsletter sign-up or event registration (e.g. name, email, phone number, school/organisation).
- Service Providers & Employees: Information necessary for recruitment, payroll, and administrative management.
Mandatory Information: When using sign-up forms, fields marked with an asterisk (*) are mandatory. If you do not provide this information, we may be unable to process your registration or provide the requested services.
2. Use of Data & Direct Marketing
Your data is used to manage your participation in our programmes, process payments, and improve our services.
Direct Marketing: We intend to use your contact information to send you news, updates, and promotional materials regarding ICE’s activities.
- Consent: We will only use your data for marketing purposes if you have provided your consent (e.g. by ticking an ‘opt-in’ box on our forms).
- Withdrawal (Unsubscribing): You may opt-out of receiving marketing communications at any time by clicking ‘unsubscribe’ in our emails. Please note: Unsubscribing removes you from our mailing lists but does not automatically delete your personal data from our systems.
3. Disclosure & Outsourcing
ICE does not sell or rent your data. To operate our business, we transfer data to trusted third-party service providers acting as our data processors:
- Communications & Storage: We use Google Workspace for internal document management and email.
- CRM & Administration: We use Monday.com to manage our contact databases and project workflows.
- Website & Newsletters: Our website and email distribution are managed via MailerLite and Ghost (hosted by MagicPages).
These providers are contractually bound to maintain data confidentiality and security. As these providers may operate servers outside of Hong Kong, your data may be transferred cross-border; by using our services, you consent to such transfer.
4. Data Security & Retention
We take all practicable steps to protect your personal data from unauthorised access or loss.
- Internal Security: Our staff access data on a ‘need-to-know’ basis using password-protected devices (including laptops and mobile devices).
- Retention: We retain your personal data only as long as necessary to fulfil the purposes stated above. Data that is no longer required will be erased or anonymised.
5. Access, Correction, and Deletion Rights
You have the right to request access to and correction of your personal data held by ICE.
- Data Deletion: If you wish for your personal data to be permanently erased from our records (beyond simply unsubscribing from newsletters), please submit a specific request in writing.

- We may charge a reasonable fee for processing data access requests as permitted by law (unless such a fee is prohibited by applicable international data protection regulations such as the GDPR) and will respond within 40 days.
